On some occasions we are able to pay your expenses out of petty cash otherwise you will only receive reimbursement through your bank.

the personal details form gives us the information to enable us to deposit money into your account

the authorised car user form informs us of the details of your car and tells us that your car is insured.
If you travel in your own car and wish to receive payment via your bank, both of these forms need to be completed to enable you to claim.
Things to remember when using the forms:

it is in Excel format if you use it electronically

each travel form should consist of at least two pages. You need to click on each tab of the worksheet. If your form is not signed or filled in correctly, it will be returned

all receipts will need to be attached

travel claims will need to be claimed within three months of a meeting or they will not be paid

If you wish to be paid from petty cash you will still need to complete a travel claim form and present it when you see a staff member. Please note that petty cash may not accompany staff to every meeting.
Timing of claim forms
The first claim you make should take the longest. The two forms, personal details and authorised car use form, will need to be sent in together with your first claim. Both forms have to be processed before any claim can be made. It is not possible to send in the two forms without the first claim.
We suggest you make claims from the fifteenth of one month to fifteenth of the following month. The cut off date for claims is the second working day of the month. Provided they have been correctly completed and all other paperwork is correct, the claims should be paid on twenty fourth day of the month in which they are submitted.
If your claim has not been received by the claims department by the second working day of the month, or it has not been filled in properly, it will be paid on the twenty fourth day of the following month.
Please remember your claim will need to be checked, signed and copied by Claire and then sent off to reach the travel claim department by the second working day, so please allow plenty of time.
